2010 Camp Registration and Payment

**PLEASE READ ALL INSTRUCTIONS CAREFULLY BEFORE REGISTERING FOR ANY LIFE TEEN CAMP. THE REGISTRATION PROCESS WILL RUN DIFFERENTLY THIS YEAR.**

All information for 2010 Life Teen camps will appear on the camps.lifeteen.com website beginning October 1, 2009. Each parish group attending camp in 2010 is responsible for reading the following information and registering their group according to the new Life Teen camp policies. The new policies and procedure being put in place for 2010 camps were designed to help make registration a fair process for everyone who wants to attend camp. Each parish will have the same amount of time and opportunity to become familiar with the following information and to select their spots for camp.

  • October 1, 2009: Official 2010 dates released and new camp registration information published
  • November 2, 2009: Registration opens online for all Life Teen camps at 12:00pm Eastern Standard Time.
  • April 1, 2010: Balances due for all camps
  • May 15, 2010: Covecrest paperwork due
  • May 31, 2010: Tepeyac paperwork due
  • June 15, 2010: Rockyvine paperwork due
  • July 1, 2010: New England paperwork due

STEP-BY-STEP REGISTRATION & PAYMENT PROCESS:

  1. Check out the OFFICIAL 2010 Life Teen camp dates on the website and decide which week your group would like to attend.
  2. Click on the online registration link for the week you plan to attend (EVERYONE WILL REGISTER ONLINE THIS YEAR, HOWEVER, YOU WILL NOT BE REQUIRED TO PAY ONLINE).
  3. During the online registration process, you will be prompted to enter in the:
    1. Group Leader’s information
    2. The parish information
    3. Your breakdown of camper to chaperone ratio
    4. Your male to female ratio
    5. Official number of spots you are requesting for that particular week
  4. The last page of online registration will take you to the payment options page
    1. If you would like to pay your deposit by credit card, we request that you pay online
    2. If you would like to pay by check, select the “check” option in the payment section
    3. A confirmation page will then be generated with a payment form with a date and time. You have 2 weeks from that generated date to send in payment for your spots. WE MUST RECEIVE YOUR PAYMENT NO LATER THAN 2 WEEK AFTER YOUR REQUEST FOR SPOTS. YOUR SPOTS ARE NOT SECURED AND GURUNTEED UNLESS PAYMENT IS RECEIVED.
    4. If your payment is not received within 2 weeks, your spots will be given to another group and you will be placed on the waiting list. We have to do this in order to be fair and to give each group the same opportunity to experience the blessings of camp

PROCESS FOR PAYING YOUR BALANCE:

  1. Balances for every group must be RECEIVED by April 1, 2010.
    1. You may pay your balance online with a credit card
    2. If you are paying by check, you must print out your confirmation email and mail it in with your check
  2. If you are PAYING ONLINE and dropping spots, please adjust your final numbers online before paying your balance
  3. If you are dropping spots and paying by check, please indicate so on your confirmation page that you will mail in with your check

WHAT IS A GROUP?

Groups are defined as one adult leader to six youth participants. The following four categories describe the different attendees to summer camp:

Group Leader: This is the person organizing the trip and serving as a contact person to the Life Teen Headquarters. The Group Contact must be an adult, age 21 or older, who is actually attending the camp with the group. Written and verbal correspondence takes place between the Group Leader and the Life Teen staff.

Adult Chaperone: Someone attending the camp to chaperone the youth. Chaperones must be 21 years of age or older. Adulte chaperones must comply with your home Diocesan Youth Protection policies. Life Teen requires a copy of the certification for each adult attending any camp. It is the responsibility of the Group Contact to ensure that all chaperones are in compliance. THey must be able to carry out the role of supervising/discplining the youth of their group, leading small groups, and active participation. Keep in mind this is a camp experience; physical and spiritual fitness is highly encouraged. Thr Group Leader can be considered on of the Adult Chaperones. **If you have male and female campers attending camp, you MUST have male and female chaperones. Priests DO NOT count as a male chaperone.

Youth: Campers. These include incoming freshman (entering 9th grade) through graduating seniors (Class of 2010) for Life Teen weeks. Edge youth are incoming 6th graders through graduated 8th graders. If you notice incoming freshman are encouraged to go to either camp. Please prayerfully consider the appropriate camp week for your incoming freshman.

For the effectiveness of summer camp and for the good of all invovled in summer camp, ther must be at least one but no more than three adults per six youth. Please take into account these ratios when determining the number of spots you reserve. i.e. If a group brings 9 youth, five females and four males, that group would NEED to have two Adult Chaperones, one male and one female.

COMMON QUESTIONS AND HELPFUL HINTS:

Is the $100.00 deposit refundable?

The $100.00 deposit is non-refundable and non-transferable. To avoid losing any deposit money, please be conservative in your number projection.

Are we allowed to sell spots?

Life Teen allows groups to sell spots in the event that a group is not able to fill their spots and another group is in need of them. HOWEVER, Life Teen is not responsible for facilitating this process or reimbursing from parish to parish. All payments for sold spots are to take place between the individual parishes.

Are we allowed to register for one week of camp and go on the waiting list for another week of camp at the same time?

Because our goal is to get as many teens to camp as possible, we will give first preference to those on the waiting list who are not registered for any other week of camp.

(EX: St. Joseph is signed up for week 5, but they also placed themselves on the waiting list to see if they can get into week 7. Because they have guaranteed spots on week 5, they will be placed at the bottom of the waiting list on week 7. The other groups on the week 7 waiting list will be given preference since do not have secured spots on another week.)

If my group booked “10” spots by our deposit and now I need to add more spots, how do I do that?

Remember, spots are only guaranteed once we have received your payment. You are not allowed to add more spots, until we have received payment for your original request of spots. If you paid online with a credit card, you can add spots as long as they are still available.

Bookkeeper is out of town…priest is out of town, etc.

A very common situation that we encounter is that bookkeepers and priests all seem to take a vacation right when its time to send in the deposit check or the balance check. We know this can often cause group leaders to panic. In order to help you avoid this problem, we have published everything you need to know about 2010 summer camp, 1 month before registration opens. This will help you to plan ahead with your bookkeeper/accountant, etc so that everyone involved in the summer camp process at your parish is informed and on the same page.

How quickly do you think camps will sell out this year?

VERY QUICKLY! We have never received so many requests for registration to open today! Our phones are ringing and emails galore about the registration launch date. EVERY WEEK OF CAMP WILL SELL OUT THIS YEAR!

If we are on the waiting list, how will know if spots become available?

As spots become available for a particular week, we will contact those on the waiting list in order either by phone or by email. Please be sure that your listed contact information is accurate.

Turing in paperwork and forms

Each camp has required paperwork and forms that must be turned in. The due dates for these forms are different for each camp. PLEASE HONOR THESE DATES. Also notice that you will send these forms directly to the camp that you are attending, NOT THE LIFE TEEN OFFICE.

Our cancellation policy is as follows: After April 1, 2010 eligibility for a refund of the balance ($325) is voided, including cancelled spots and no-shows. To cancel before April 1, 2010, you must email or fax in writing to Tobi Ballentine (summercamps@lifeteen.com or 480.820.8653). To confirm your cancellation, call 480.820.7001. There will be no exceptions regarding refunds.
